 2016 Vendor Information for Albany and Rochester Trade Shows

 

2016 Albany Holiday Trade Show

Event Details

The Albany Holiday Trade Show will take place from 2pm to 8pm on October 13, 2016 at the Desmond Hotel and Conference Center in Albany.

Set-Up Schedule

The tradeshow space will be accessible for full set-up at 7:00am on October 13. If you have opted to ship and store products at the Desmond, it will NOT be accessible before 7:00am on October 13.

Booth Details

 Booths consist of a 6ft table, 8ft pipe and drape back drop (black), signage, ice, two chairs and access to electricity if previously requested in your registration form. Please let the NYSLSA office know by 10/1/16 if you have any special needs.

Glassware

NYSLSA will be providing each attendee with one 8oz wine glass as they enter the tradeshow.

Food and Beverage 

Full buffet stations will be strategically placed throughout the Tradeshow areas for the duration of the event and are open to all sponsors and vendors. There will also be water coolers placed throughout as well.

If you are sending materials to the Desmond Hotel prior to the event, please label each box as stated below:

The Desmond will not be responsible for unmarked packages; be sure that your company name or contact is clearly visible on the package.

*Please note, the Desmond Hotel will receive conference materials no sooner than three days prior to the event and will hold materials up to five days after the function. After 30 days if you have not claimed your materials, they will be discarded.

Shipping out

If you want the Desmond to ship your materials back out, a label and pre-payment of the shipment must be given to a member of the Desmond staff at the time of departure.

Tasting Permits

Obtaining tasting permits are the sole responsibility of the vendor. Questions or concerns regarding tasting permits should be directed to the New York State Liquor Authority at 518.474.3114.

Hotel Reservation Information

NYSLSA has reserved a block of rooms for October 13 for tradeshow participants. This link will be made available soon, so please stay tuned.  

*If you are a major sponsor, hotel arrangements have been made for you for the night of October 13 (Please refer to your sponsorship package for number of overnight rooms included)*

Payment

Payment to the New York State Liquor Store Association must be received by September 21, 2016. Payment can be made via check or credit card. NYSLSA reserves the right to sell registered booths not paid for after September 21, 2016.

Advertisement Deadline

All advertisements must be submitted by September 15, 2016 to ensure publication in the event program and should be submitted to: nyslsa@caphill.com. Please put Tradeshow Advertisement in the subject line of the email. All advertisements are full color and sizes are as follows:

Back Cover: 7.5”X10”

Inside Back Cover: 7.5”X10”

Full Page: 7.5”X10”

Half Page: 7.5”x4.75”

¼ Page: 3.5”x4.75

Transportation

NYSLSA is not responsible for the transportation needs of tradeshow participants and asks that transportation and/or lodging accommodations be made prior to the event. NYSLSA does not condone drinking and driving and urges all participants to either reserve a room at the Desmond Hotel or coordinate a designated driver if you will be consuming alcohol. Thank you in advance for drinking responsibly.

 

2016 Rochester Holiday Trade Show Information

Event Details

The Rochester Holiday Tradeshow will take place from 2 p.m. to 8 p.m. on Tuesday, October 11, 2016 at the Rochester Riverside Convention Center located at 123 E Main St, Rochester, NY 14604.

Vendor Manual

The Vendor manual will provide you with everything you need to know about services offered to you above and beyond what you receive with your booth purchase, including information on INTALLATION, SHOW HOURS, and DISMANTELING. To ensure a successful Tradeshow, it is imperative you familiarize yourself with this manual. To access the Vendor Manual, please click HERE.
